Wellfleet Bay Wildlife Sanctuary - Part-time

Special Events/Donor Stewardship Coordinator
Location: South Wellfleet, MA

Working closely with Wellfleet Bay’s Development Manager and Sanctuary Director, the Special Events/Donor Stewardship Coordinator will plan, coordinate, and execute meetings and special events that advance donor engagement, cultivation, and stewardship for both annual support and major gifts. Events will range in complexity from organized walks, cruises and hosted house parties to a 200+ person annual special event/fundraiser involving a sizable volunteer committee and numerous community sponsors and vendors.

  • Work with staff to develop the calendar of special events for the year.
  • Establish working relationships with and coordinate the activities of volunteers who are hosting events or assisting with events.
  • Primary responsibility for event logistics such as invitation lists, design, printing and mailing of invitations, catering, décor, entertainment, staffing and printed materials.
  • Assist with developing promotional materials and in communicating with the media relating to public events.
  • Some invitations will be by telephone; make the calls and follow up with non-respondents.
  • Manage the budgets for events, including securing and correctly reporting in-kind gifts.
  • Draft copy, and manage the approval process for all printed materials, including invitations, program books, speaking points, website information and other items
  • Convene and run meetings regarding event details to ensure that the efforts of all are coordinated.
  • Develop and execute post-event acknowledgement (letters and gifts).
  • Help to engage new and emerging volunteer leaders for events.
  • Write personal acknowledgment and stewardship letters for signature by sanctuary director.
  • Develop and manage prospect lists derived from internal member or program participant lists for use in moves management process
  • Work with staff to help develop and execute ways to develop on-line communication with donors and prospects and to create online fundraising projects.
  • Provide assistance on other related projects and events, as determined by the Development Manager.

Qualifications:

  • Bachelor’s degree
  • Demonstrated skills in writing, organization, and attention to detail.
  • Minimum of two years experience in fundraising or an equivalent client-focused environment.
  • Must be competent in Microsoft Office products Outlook, Word, and Excel
  • Prior experience with donor databases and prospect tracking systems a plus.
  • Prior experience with cultivation and recognition events a plus.
  • Prior experience working with volunteers.
  • Requires some nights, weekends, and occasional day time travel. Driver’s license required.
